Technical & Data Protection FAQ

1. System Architecture & Hosting

Where is PartsOS hosted?
PartsOS is operated exclusively in Germany (ISO 27001–certified data centers, AWS eu-central-1).
All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
No data is transferred to third countries without a separate agreement.

How is tenant separation implemented?
There is strict separation between tenants.
No data is shared or mixed across customers.

Which security standards does PartsCloud meet?
Encryption in transit and at rest.
Multi-factor authentication (MFA) support.
Backup and disaster recovery concepts.
Physical security via ISO-certified data centers.

2. ERP Integration & Data Flows

Is an integration required to get started?
No.
PartsOS can be used immediately without an ERP connection.
Manual exports from the ERP system are fully sufficient.
No IT project and virtually no effort required from the IT department.

Which integration options are available later on?
SAP IDoc (e.g. MATMAS, MBGMCR, ORDERS).
SAP OData / APIs.
BAPI / RFC.
Middleware: PI/PO, Integration Suite, APICON, Boomi.
PartsConnect as a lightweight integration layer.

Is there a risk of indirect SAP usage?
During onboarding: no, as no data is written back.
Later on:
dedicated technical user
clearly defined authorizations
SAP-compliant architecture
→ No uncontrolled licensing risk.

Which data is required to get started?
Material master data.
Historical consumption data.
Stock levels.
Lead times / info records.
Optional: purchase orders.
Provided via standard exports - no custom reports required.

How does data flow back into the ERP?
Manually by default (CSV).
Optionally automated via IDoc or API.
No automatic order creation.

3. Data Protection (GDPR)

Which personal data does PartsCloud process?
Essentially none.
Login is handled exclusively via email addresses.

Who is the data controller?
The customer remains the data controller.
PartsCloud acts as a data processor in accordance with Art. 28 GDPR.

How long does PartsCloud store data?
Only for the duration of the contract.
After termination: data export and deletion within 30–60 days.

Is data transferred to third countries?
No.
All hosting is fully located in Germany.

4. AI / Model Logic

Is personal data used for AI models?
No.
Models operate exclusively on material and transactional data.

Does the AI make decisions?
No.
PartsOS provides recommendations only - no automatic purchasing decisions.

5. Onboarding & Time to Value

How does onboarding work?
Three simple steps:
One-time data export
PartsCloud prepares and configures the system
Joint review of the first planning results

Which resources are required on the customer side?
One person from operations or materials planning is sufficient.
Optionally an IT contact for the one-time data export.

How quickly is value delivered?
Typically within 10-14 days after project start.
Often already after the first planning run.

Is there an implementation project?
No.
PartsOS is ready to use immediately.
Integration can be added later on - optionally.

How does PartsCloud support onboarding?
PartsCloud takes care of:
Data analysis and mapping
Parameter configuration
Short training sessions
Interpretation of results
Support until routine operation is established

6. SAP Build Partner & SAP Interfaces

Is PartsCloud an SAP Build Partner?
Yes.
We use SAP best practices for integration-related scenarios.

Does PartsCloud provide SAP-certified interfaces?
Not yet.
However, we fully support standardized SAP technologies (IDoc, OData, RFC).
Certification is not required for reliable integration.

How does PartsCloud handle IDocs?
Direct processing without development effort on the customer side.
Predefined mappings for common IDoc types.

Is an SAP add-on required?
No.
Integration can be implemented without any add-on.

7. Works Council & Employee Data

Are employees monitored?
No.
PartsOS analyzes material and process data only.

Is personal employee data used?
Only technical user accounts.
No performance or behavioral monitoring.

Are decisions automated?
No.
All decisions remain with the human user.

8. Support, Availability & Updates

How often are backups created?
Daily, with multiple recovery points.

How are updates deployed?
Automatically and only after prior testing.

How can I contact support?
Via the integrated ticket system or your Customer Success Manager.
